Payroll Services in Kent

We run payroll for Kent employers of all sizes, from a single director to a growing team, handling RTI submissions, payslips, workplace pensions and year-end reporting so your staff are paid correctly and HMRC is kept informed.

Payroll that runs on time, every time

Once you employ anyone, including yourself as a company director, you become responsible for running PAYE. That means calculating pay and deductions correctly, reporting to HMRC in real time, paying over tax and National Insurance, and meeting your workplace pension duties. Mistakes affect people's pay, so accuracy and timing matter.

What our payroll service covers

  • Setting up as an employer with HMRC and getting your PAYE references in place.
  • Weekly, fortnightly, four-weekly or monthly pay runs, with payslips for each employee.
  • Real Time Information (RTI). A Full Payment Submission must be sent on or before each payday. We prepare and file it, along with any Employer Payment Summary.
  • Statutory payments, including sick pay, maternity, paternity and shared parental pay.
  • Starters and leavers, new starter checklists, P45s and pay adjustments.
  • Workplace pensions. Employers must enrol staff aged between 22 and State Pension age who earn at least £10,000 a year and normally work in the UK. We assess your workforce each pay run and handle contributions and pension provider files.
  • Year-end reporting. P60s must reach employees by 31 May, and P11D and P11D(b) forms for expenses and benefits are due by 6 July.

Directors' payroll

Directors of limited companies are office holders, and their National Insurance is worked out on an annual basis rather than pay period by pay period. We set up directors' payroll correctly, and look at salary levels alongside dividend planning so you understand the overall tax position. Where a director's loan goes over certain limits, it can also need reporting as a benefit, which our director's loan account reviews pick up.

How we run your payroll

  1. You send us hours, overtime, new starters and leavers by an agreed cut-off each period.
  2. We calculate pay, tax, National Insurance, student loans and pension contributions.
  3. You receive payslips, a summary of what to pay staff, and the amount due to HMRC and your pension provider.
  4. We file the RTI submission and pension data on time.
  5. Payroll journals can be posted to your books as part of our bookkeeping service, and differences between payroll and the ledger are checked through payroll reconciliation.

What we'll need from you

Payroll deadlines do not move for holidays or busy weeks, so we agree a simple monthly timetable with you and send reminders before each cut-off. Your PAYE and accounts office references, details of each employee, their tax codes, pay rates and pension choices, and any changes in good time before payday. GOV.UK summarises the year-end duties in its payroll annual reporting guide.

Payroll for Kent employers

We run payroll for shops, trades, care providers, hospitality businesses and professional firms throughout Kent, as well as one-person companies that only need a director's salary processed. Send us a message to discuss your pay frequency and headcount.

Frequently asked questions

I am the only employee of my own company. Do I need payroll?

If you pay yourself a salary from the company, it needs to go through PAYE and be reported to HMRC under RTI. Many directors take a modest salary and the rest as dividends. We set up a simple director-only payroll and explain how salary and dividends fit together for you.

Can you take over payroll part way through the tax year?

Yes. We need the year-to-date figures for each employee from your current payroll, including pay, tax and National Insurance, so the records carry on correctly. We check those figures match what HMRC holds and switch over from an agreed pay date.

Do you handle workplace pension auto-enrolment?

Yes. We assess staff each pay run, calculate employer and employee contributions, and send the data to your pension provider. You remain the employer with the legal duties, so we tell you about any letters or deadlines from the regulator that need your attention.

What is the difference between a P60 and a P11D?

A P60 shows an employee's total pay and tax for the tax year and must be given to them by 31 May. A P11D reports expenses and benefits, such as a company car, and is due to HMRC by 6 July, with the P11D(b) covering the employer's Class 1A National Insurance.
